Council Committees

Our committees are made up of staff members who care about their colleagues across campus and decide to get actively involved. They are people like you.

There are different kinds of committees in Staff Assembly:

  • Standing Committees are permanent, and ongoing. Their Chairs are elected and serve as voting representatives on the Council.
  • Special Committees are convened to handle special issues that need concentrated attention over a defined period of time. The Catastrophic Leave Donation Program was the result of a special committee.

Working on a committee can involve a little or a lot of time or something in between. It’s an opportunity to meet, help your fellow employees, and make a difference. You choose how much time you can afford to give.

  • Short term time investments: Work at an event for one to two hours or distribute flyers within your department.
  • Longer time investments: Serve on a planning group or develop programs and events

Anything you can offer is enough and welcomed!

Committees & Chairs

Community Relations

The Community Relations Committee seeks to provide programming and volunteer opportunities for staff across campus that benefits the local Orange County community. Committee members often collaborate with local non-profit organizations to either join forces on regularly scheduled events or create new events to assist organizations. Past programming includes assembling boxes of food for local food banks, sponsoring fellow UC Irvine staff and their families during the holiday season, gathering toys and supplies for children during the holiday season, clothing drives, and beach clean-up events. Committee members work in collaboration with the Committee Chair(s), but are expected to run events independently after properly trained by Chair(s) and/or fellow committee members.

Chair(s) Job Description:
The Chair(s) is/are responsible for organizing quarterly or bi-annual meetings (depending on need) with the committee. The Chair(s) is also responsible for maintaining the yearly calendar of events and communicating this schedule to the Staff Assembly council. The Chair(s) mentors new committee members with their event planning in the hopes that the committee member will be able to run their event independently in the future. The Chair(s) will act as the point of contact for the committee in responding to staff inquiries.

Typical hours are outlined below:

Meetings: 1x quarterly or 2x annually for 1 hour.

Education and Enrichment Committee

The Education and Enrichment Committee seeks to provide programming for staff across campus that is both educational and enriching through interactive networking forums and professional development opportunities. Programming also includes workshops based on interest of staff across campus [examples include: tours of facilities and departments on campus, “how to” workshops, speaker series, etc.]

Co-chairs:

Chair(s) Job Description: 
The committee operates on a modest budget and is responsible for planning events within this budget. Typical expenses include room rental, light refreshments, supplies and speaker fees. The Chair(s) is/are responsible for managing the budget, processing expense related paperwork and negotiating fees with vendors/partners on and off campus for events related to programming. Other duties include drafting correspondence Zotmail for communication efforts, event planning and coordination including managing event registration and follow-up. This committee meets on a quarterly basis when events are not imminent. Chair(s) responsible for providing direction, and without committee support, they are expected to be the lead on events. Chair(s) will act as the point of contact for committee in responding to staff inquiries, and should expect to provide the introduction of workshops and events held on campus.

Typical hours are outlined below:

Annual meetings: at least 1x quarterly for 1 hour.
Pre-planning [includes communication, managing rsvp list and budget duties]: ~5 hrs per event
Event/Workshops [includes tabling and on site activities]: ~2 hrs per event

*hours distributed among leads, chairs and committee members as appropriate, but since this is a small/growing committee, these reflect hours spent by Chair(s).

Marketing Communications Committee

The Marketing Communications Committee coordinates all UCI Staff Assembly communications, (i.e. UCI Brief, Zotmail). The committee works to increase awareness of Staff Assembly and promote all news and events; works with Council Communications Officer and Web Communications Chair to ensure efficiency of all Council communication efforts, providing back-up assistance as needed.

Scholarship Committee

The Mike Puritz Staff Assembly Career Enhancement Scholarship Committee (http://staffassembly.uci.edu/scholarship-program/) seeks to help UC Irvine career staff employees continue to impact their career and UCI by furthering their educational goals, whether in pursuit of an academic degree, Continuing Education courses, workshops, webinars, conferences or other classes through reimbursement scholarships generously donated by staff, faculty and the community or raised through events.

Chair(s) Job Description:

The tasks of the Chair(s) are to work with their committee members who typically meet 6 times per year or more often to effect the following:

  • Fundraising
    • Create and promote events to raise money (eg, bake sales, fun runs, dine-out days, coupon sales, etc.).  (4+ hours per month depending on the event and committee delegation)
    • Deposit funds into the foundation account. (6 hours per year)
  • Scholarship Awards Process
    • Review and update scholarship applications. (4 hours per year)
    • Promote Scholarship Application Period (4 hours per year)
    • Collect applications and provide to committee for review.  (8 hours per year)
    • Select recipients. (8 hours per year)
    • Confirm eligibility of recipients. (4 hours per year)
    • Follow up with recipients to gather documentation and request funding to be approved. (4 hours per year).
  • Administration
    • Various correspondence needs (4 hours per month)
    • Review and update website, especially for new application periods. (4 hours per year)
    • Review budget and donations, and send Thank You notes to donors (2 hours per month)
    • Monthly reporting and attendance at Staff Assembly Council Meetings (2 hours per month)
    • Additional volunteer hours for Staff Assembly events (1 hour per month)

Staff Appreciation Committee

The Staff Appreciation Committee develops and coordinates staff events on and off campus to promote cohesion and morale for staff on the Irvine Campus and Medical Center in Orange. The annual picnic subcommittee is part of this committee. New ideas and members are always welcome!

Web Communications Committee

The Web Communications Committee develops and maintains all Staff Assembly web communications to ensure web site information is accurate; works with Council Communications Officer and Web Communications Chair to ensure efficiency of all Council communication efforts, providing back-up assistance as needed.
